Office Clerk – Village of Menands

Position Title – Account Clerk 1

Salary Range – Commensurate with experience, approx. $55,000 – $57,500

Department – Village Administration

Reports To – Village Clerk/Treasurer and/or Mayor

Position Summary

The Village of Menands is seeking a dependable, organized, and customer-service-oriented Office Clerk to assist with the daily administrative operations of Village government. The Office Clerk performs a variety of clerical, recordkeeping, financial, and public-facing duties in support of Village departments and services.

This position requires professionalism, attention to detail, strong communication skills, and the ability to work effectively with residents, staff, elected officials, and outside agencies.

Essential Duties and Responsibilities

Duties may include, but are not limited to:

• Greet and assist residents, visitors, and contractors in person and by telephone.
• Answer inquiries and direct requests to appropriate departments or personnel.
• Prepare, process, file, and maintain records, correspondence, permits, and reports.
• Receive and process payments for taxes, water/sewer bills, permits, parking tickets, and other Village fees.
• Assist with accounts payable, accounts receivable, and basic bookkeeping functions.
• Assist with municipal payroll and benefits administration.
• Enter and maintain data in municipal software systems and spreadsheets.
• Prepare meeting packets, notices, agendas, and other administrative documents.
• Maintain confidential records and information in accordance with applicable laws and policies.
• Assist with records management and compliance with records retention requirements.
• Coordinate mail distribution and office supplies.
• Provide administrative support to the Mayor, Village Board, Village Clerk, Treasurer, and department heads.
• Assist with election, tax collection, and budget preparation activities as needed.
• Perform other related duties as assigned.

Minimum Qualifications

• High school diploma or GED required.
• Prior clerical, administrative, bookkeeping, or municipal office experience preferred.
• Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and basic data entry systems.
• Strong organizational and customer service skills.
• Ability to communicate effectively verbally and in writing.
• Ability to maintain accurate records and handle multiple tasks simultaneously.
• Ability to maintain confidentiality and exercise sound judgment.

Preferred Qualifications

• Experience working in municipal government or a public-sector office.
• Familiarity with New York State municipal procedures and records management practices.
• Experience handling cash receipts and financial transactions.

Physical Requirements

• Ability to sit, stand, and work at a desk for extended periods.
• Ability to occasionally lift office supplies and records weighing up to 25 pounds.

Work Schedule

Typical office hours are Monday through Friday during normal Village business hours. Occasional evening meetings or overtime may be required.

Compensation and Benefits

Salary and benefits are established by the Village of Menands based on qualifications, experience, and applicable collective bargaining agreements or personnel policies.
